Haileybury welcomes applications for a dedicated and highly organised Senior School Administration Assistant to join our City campus team. This part-time (job share) position (0.6 FTE, 3 days per week – term time only) plays a vital role in supporting the smooth, day-to-day operations of the Senior School.
Reporting to the Head of Senior School City, the successful candidate will provide high-level administrative and organisational support, ensuring the delivery of efficient and professional service across a range of school activities.
Key Responsibilities
As a Senior School Administration Assistant, you will:
- Provide high-level administrative support to the Head of Senior School, including diary management, meeting coordination, correspondence, and documentation.
- Act as a key contact for students, families, and staff, responding to enquiries and facilitating effective communication.
- Coordinate school events, campus tours, subject selection interviews, orientation activities, and other school initiatives.
- Maintain accurate records, monitor student attendance, and support compliance and administrative processes.
- Manage room bookings, transport arrangements, digital platforms, and internal communications.
- Support parent engagement through booking systems and student information platforms.
- Assist with enrolments, transition days, orientation activities and skills testing.
- Assist with reception duties as required and undertake other administrative tasks as directed by the Deputy Principal Head of Senior Schools or delegate.
About You
At Haileybury we are seeking exceptional people. We are looking for a team player who brings the following skills and experience:
- VCE or equivalent.
- Experience in a personal assistant, office coordination, or senior administrative role, ideally within a complex, fast-paced environment.
- Advanced Microsoft Office skills and strong digital literacy.
- Excellent organisational, time management, and multitasking abilities.
- Strong written and verbal communication skills with a high level of professionalism.
- Proven ability to maintain confidentiality, exercise sound judgement, and manage sensitive information.
- Exceptional interpersonal skills with the ability to build positive relationships with staff, students, families, and external stakeholders.
- A current Employee Working with Children Check (Victoria). An understanding of the need for complete commitment to confidentiality.
- Ability to form a rapport with staff and build collaborative working relationships.
